What actually needs to be on an invoice

Beyond "how much do you owe me," a proper invoice has a handful of details that make it a usable business record — not just a request for payment.

An invoice is a request for payment, but it's also a record — for your own bookkeeping, for the client's, and potentially for tax purposes on both sides. A handful of details separate a proper invoice from a hastily written note that happens to mention a dollar amount.

The core fields

  • A unique invoice number — makes every invoice individually trackable and referenceable, especially important once you have more than a few clients.
  • Issue date and due date — the due date should be explicit, not implied ("30 days" only works if the issue date is also clearly stated).
  • Your business details and the client's — name, address, and any tax ID or registration number your jurisdiction requires.
  • An itemized list of what's being billed — quantity, description, and rate per item, not just a single lump total.
  • Subtotal, any tax applied, and the final total — shown separately so the client can see exactly what tax was charged and at what rate.
  • Payment terms and accepted methods — how and by when payment is expected.

Optional but genuinely useful

A purchase order number if the client issued one, notes on late-payment terms, and a clear reference to what work or period the invoice covers. None of these are strictly required, but they reduce the number of follow-up emails asking "what was this for again?"

What varies by jurisdiction

Tax requirements differ significantly — some places require a specific tax registration number on every invoice, others require sequential numbering with no gaps for audit purposes. If invoicing is a regular part of your business, it's worth confirming your local requirements once rather than guessing per invoice.
